How SAM Works

Right now, the full story of a case lives in a dozen places. An email in someone’s inbox, a signed form in a shared drive or a training date somebody is holding in their head. When a caseworker needs an answer, the search starts. And when someone leaves, part of what your agency knows walks out the door with them.

SAM keeps the whole case in one record, shaped the way your agency works, and then handles the follow-ups on its own so nothing slips while your team is with families.

One record for the whole case

When the information about a case is spread across inboxes, shared drives, and a spreadsheet or two, finding one answer means checking three places and hoping the version you found is the current one. SAM keeps the whole case in a single record instead: the child, the birth parents, and the adoptive or foster family, with the case notes, documents, requirements, and the important dates in one place.

The money lives there too. Adoptive family fees, expectant-parent expenses passed to the matched family, and foster, administrative, and respite payments, each with a history of the rates behind it, so the financial side of a case sits with the rest of it instead of in a separate ledger someone has to reconcile later.

Most software asks you to describe your agency in its terms. You learn its categories, rename your programs to fit its fields, and explain your process to a tool that doesn't recognize it. Over time your agency starts to sound like the software instead of itself.

Every case throws off a steady stream of small tasks that have to happen on time: the intake email when a referral arrives, the reminder that a license or CPR certification is about to lapse, the follow-up after a family attends an orientation. Families in the middle of a home study or an adoption are already carrying a lot. Handing them a thick packet of forms to finish all at once adds to that, and tracking down the pieces that trickle back adds to your team's load.

SAM gives families a secure portal instead. Requirements arrive in due time rather than all at the start, each one paired with the place to complete it, so a family sees the next step without wading through the whole process at once. They can check where things stand and read the latest from your team without calling in to ask.

Families aren’t the only ones who get access. Home study writers and contractors see only the cases assigned to them. Community and government partners can send referrals online. When a licensor needs to review files, they get access to just those and find their way without your team printing or scanning anything.

The connection also holds after placement. Post-placement requirements, monitoring, and correspondence live in the same record, so keeping in touch with a family later is part of the case rather than a separate thread someone has to maintain.
